The Executive Talent Acquisition Team has an opening for a Lead Associate, Executive Recruiting Coordinator who will be responsible for supporting the Executive Talent Acquisition Leader and the executive recruiting process from role requisition creation through new hire onboarding.This role is critical to the success of the team and plays a key role as primary contact for all newly hired executives to guide them through the hiring process while maintaining team sites, electronic files, and other data in a systematic manner for enduring use. The successful candidate will have the ability to prioritize and complete deliverables across various stakeholders, have strong verbal and written communication skills, ability to work both independently and collaboratively, be comfortable with multi-tasking on diverse responsibilities, be flexible, and able to work in a fast paced, customer focused environment. Responsibilities include, but are not limited to:
Administrative support to the Global Executive Recruiting Leader which includes calendar management, travel arrangements, expense management, data reporting, and meeting planning. Manage assignment, preparation, proofreading and posting of Executive requisitions. Create Executive level offer letters, process onboarding paperwork, manage relocation approvals to initiate process. Manage and facilitate pre-employment contingencies and onboarding which includes Global Background Check, verification of I-9's, Conditions of Employment documentation and other processes for all U.S. Executive hires. Ensure compliance and timely closeout of all Executive requisitions. Manage External Vendor purchase orders and review/approve/track invoice payments. Work with Vendors and Procurement to resolve invoice discrepancies.Preparing, processing, and reconciling expense reports, purchase orders, and payment requests, as needed.Assist with tracking budgets and costs. Deliver exceptional customer service, support and partnership to establish and maintain partnerships with Candidates, Executive Recruiters, Hiring Managers, Executive Assistants and External Vendors. Partner across the HR organization to ensure Executive Talent Acquisition team needs are met, including providing assistance in terms of troubleshooting issues, identifying new HR policies, processes, or procedures, adhere to all compliance and policy requirements of HR and the company. Responding effectively and in a timely manner to numerous stakeholders to answer questions and direct people to the right resource to resolve problems. Maintaining appropriate filing systems to provide prompt retrieval of all reports, correspondence, and other materials while maintaining compliance related to company retention schedules. Education:
High School Diploma or equivalent is required Advanced education or certifications (e.g. Associate's Degree, Certified Administrative Professional, Project Management Professional Certification, Professional in Human Resources Certification)is preferred Required Experience and Skills:
Ten (10) years administrative experience and five (5) years' experience supporting a Senior Executive. Appropriate demeanor and confidence to build relationships and guide Senior Executives through the hiring process. Exceptional level of administrative, organizational, planning and follow-up skills with demonstrated accuracy. Ability to handle highly sensitive information with discretion and confidentiality. Advanced computer skills (Excel, Power Point, MS Word, etc.) and operation of other related programs, including Workday and other company systems. Ability to prepare and assist with elaborate presentations and manipulate advanced spreadsheets is preferred. Exceptional interpersonal skills and the ability to collaborate and manage relationships with internal and external parties are essential, including displaying flexibility and sensitivity with others across other geographies, languages, and cultures. Ability to work under pressure and handle multiple tasks, as well as demonstrating accuracy, attention to detail, the ability to exercise initiative, flexibility, tact and good judgment, be diligent and proactive in anticipating needs, and maintain a high level of confidentiality. Effective business communications - both written and oral to interact with candidates, senior leaders, stakeholders and colleagues across the company.
